OVERVIEW:
Blue Valley Soccer Club (BVSC) advertises to the Blue Valley Community, via the Blue Valley Recreation Program Guide and our website. Each year the Club holds two “Open Registration Periods” during which time parents are encouraged to register their children for the upcoming soccer season. Registration for the spring season begins in November, while registration for the fall season begins in May. Following the “Open Registration Period”, players may continue to register until an age group is closed or approximately one week prior to the season start date, however these registrations are considered “late” and will be processed in order of receipt. Parents must use our online registration system called, “Blue Sombrero” to register their child/children. To avoid late fees and player placement issues all registrations should be completed no later than the end of the “Open Registration Period”.
The BVSC age levels are formed by either grade or age. Pre-Kindergarten through 2nd Grade teams play within the BVSC and are formed by grade. 3rd Grade and older teams play in the Heartland Soccer Association (HSA). The 3rd Grade and older recreational coach has the option to play by age or grade for the soccer year. The vast majority of these teams will be playing by grade.
Recreational players may not be registered on both a recreational and premier team and vice-versa.

SEASONS:
Two outdoor seasons are offered by the BVSC: fall and spring. Parents must register their children for each season.
Seasons by Grade are as follows:
Pre-Kindergarten through 2nd grade:
Fall season runs from September through October. No games are scheduled over the Labor Day weekend.
Spring season runs from late March through May. No games are scheduled over the Memorial Day weekend.
3rd grade through 12th grade: The Heartland Soccer Association schedules all games for these age groups.

Spring season runs from mid-March through May. No games are scheduled over Memorial Day weekend
Games rescheduled due to inclement weather may run into mid November or June.

FEES/COSTS:
The seasonal registration fee for all recreational players is $75. The BVSC provides jerseys for Pre-Kindergarten through 2nd Grade teams. These jerseys are to be worn for both the fall and spring seasons. 3rd Grade through 12th Grade teams play in the Heartland Soccer Association (HSA), these players are responsible for the purchase of their own team uniforms but BVSC is their registering body.
Players who register after the “Open Registration Period” will be assessed a non-refundable $10 late fee in addition to the seasonal registration fee.
It is the parent’s requirement to purchase shin guards which are required for all players to be worn during practices and games. Other items that can be purchase at the expense of the parent include a ball and soccer cleats.

REFUNDS:
It is the parent’s responsibility to notify the BVSC via email (rmiller@bvsoccer.org) regarding a request for a refund prior to the start of the game season. The start of the season is considered the first scheduled game for that age group. Refunds will be granted minus a $20 per player administrative fee. Late fees and credit card processing fees are non-refundable. After the season begins, no refunds will be granted. Refund checks may take 2-4 weeks to process.
DATES/TIMES:
Our “Open Registration Period” is held from November through early December for the spring soccer season and May for the fall soccer season. Parents can only register online. We do not accept paper registration forms. Those parents who cannot register online can come to our office during our office hours to register online.

VERIFICATION OF AGE:
A photo copy of your child's birth certificate or passport depicting the date of birth is required for all children who play through the BVSC. Returning players, whose date of birth has been verified, do not need to resubmit another copy of their birth certificate or passport.
CONSIDERING PLAYING PREMIER:
Recreational players trying out for a BVSC premier team may wish to register their player for the recreational season during the “Open Registration Period” in order to be guaranteed placement on their current recreational team if they are not placed on a premier team. This must be done prior to the end of the “Open Registration Period” for recreational players. If the player makes a premier team, your recreational registration fees will be credited to your user account and applied to your premier team fees.

RETURNING PLAYERS:
The parent as well as the Head Coach has the ability to view who has registered for the team by viewing their online account during the, “Open Registration Period”.
All players who played in the previous season AND who register during the “Open Registration Period” will be guaranteed placement back onto their teams provided there are enough players to form a team and there is a Head Coach for the team. Any returning player who registers after the “Open Registration Period” has forfeited their team placement.
To register your player, please go to www.bvsoccer.org and click on the Recreation shield. When you arrive on the Recreation home page, click on the “LOGIN” button located on the left side of your screen. This will take you to the BLUE SOMBRERO registration website. Login to your family account using the user name and password you set up. PLEASE DO NOT CREATE A NEW ACCOUNT! IF YOU DO THIS YOU RISK LOSING YOUR SPOT ON A TEAM BECAUSE YOU WILL BE CONSIDERED A NEW REGISTRANT, NOT A RETURNING REGISTRANT.
Once you have logged into your family account site, click on the “Register Now” button in the top left hand corner and proceed to register your player(s) for the current season. You must get all the way to the check out screen and hit the SUBMIT button in order for your registration to be completed and your player considered for team placement. Your order is complete when you have received an order number and email confirmation from orders@bvsoccer.org. Those not completing their order will not be placed on a team because we will not be able to “see” their registration in the system. You can check your order status by logging into your account and viewing orders placed.
You may pay for your order via check OR credit card, but will be assessed a fee if paying via credit card. If paying by credit card, your statement will reflect a charge from BLUE SOMBRERO. Cancellation of a credit card charge will result in a $35 charge back fee – so if you wish to cancel your order please call the office and we will do this for you. If you pay by check, please send payment to: 9161 West 133rd, Overland Park, KS 66213. YOUR ORDER IS NOT COMPLETE UNTIL PAYMENT IS RECEIVED IN OUR OFFICES.

NEW PLAYER:
Players who did not participate during the previous season are considered "new", and will be assigned accordingly. These players must provide a photo copy of their birth certificate or passport depicting the date of birth, unless on file with the BVSC. New players will be assigned to teams based on a combination of variables, such as; the date/time was received by BVSC, the neighborhood school where the player attends or area where they reside, the availability of coaches, vacancies on teams, and parental requests. Players will be considered to be registered on-time if received on or before the last day of the “Open Registration Period”. A registration is considered to be late if received by the BVSC after the last advertised, “Open Registration Period”. Those players whose registrations are late will be assigned to teams in the sequence of when their online registration was received by Blue Sombrero. There is no advantage or preference given to parents who register weeks in advance of the final day of the, “Open Registration Period”.
Our Club has been looking at ways to streamline our registration process without raising fees to our constituents. Our Board of Directors approved the implementation of an online registration system for the fall 2008 soccer season. This online system is called, “Blue Sombrero”. We are very excited about this new system as it gives you the opportunity to register your child online for programs offered through BVSC.
With this system, your family can create ONE FAMILY ACCOUNT and utilize this account to register for these programs. Be sure there is only ONE ACCOUNT created, as we cannot merge accounts if two are established. You may choose to pay for your registration fees via check or credit card, but be advised if paying by credit card a 3.4% fee does apply. On your credit card invoice you will see a charge from BLUE SOMBRERO. Check payments should be forwarded to our office WITH A COPY OF YOUR ORDER NUMBER and your child’s name listed on the memo line. Our office address is 9161 West 133rd, Overland Park, KS 66213.
Click on the registration button at the top of this screen. Once you have entered the Blue Sombrero site, click on the “register” button to create your account. You will establish a user name and password. Your password should be something you can easily remember. We would suggest you write it down, but if you forget there is a mechanism in place to send you this information. From there, follow the screens to fill out your family information and register your children. Those wishing to serve as Head coaches for their child’s recreational team should sign up as a volunteer. The system will prompt you to do this.

PLAYER ASSIGNMENT:
Players will be assigned to recreational teams at the discretion of the BVSC. Special requests to play with a particular team or child will be taken into consideration, but we cannot guarantee these requests will be granted. When you register your child, we assume they want to play soccer and therefore we will do our best to place them on a soccer team.

CURRENT SEASON INFORMATION:
Open registration for spring 2009 will be November 1st to December 12th, 2008. Recreational fees are $75 per player. After December 12, 2008, an addition non-refundable $10 late fee will be assessed on all registrations for a total cost of $85. New players to our Club must provide verification of age with either a birth certificate or passport. Parents can only register online using our online registration system called, “Blue Sombrero”. Our office which is located between Antioch and Switzer on 133 Street (9161 W. 133 Street) Monday through Thursday 9am to 5pm and Friday from 9am to 3pm. We accept cash or check or credit card. Checks should be made payable to the Blue Valley Soccer Club.
The game season will be:
Pre-Kindergarten – April 5th to May 17th, 2009
Kindergarten through 2nd Grade – March 28th to May 17th, 2009
3rd through 12th Grade – March 14th to June 7th, 2009
Parents should contact the BVSC office if they have not been by their assigned coach contacted by their coach as to which team their child has been assigned too:

Kindergarten through 2nd Grade – March 13th
3rd Grade through 12th Grade – February 1st
